TreksBot ("we," "us," or "our") facilitates travel and trekking arrangements via third-party providers, and this policy applies to transactions initiated within the Application. Please read this policy carefully before making a booking.

General Refund Conditions

Refunds for bookings (e.g., trekking trips, tours, accommodations) are subject to the following conditions:

  • Refunds are processed only for eligible cancellations made through the Application.
  • Eligibility and refund amounts depend on the cancellation policies of the third-party providers (e.g., tour operators, hotels) associated with your booking.
  • TreksBot acts as an intermediary and does not independently determine refund eligibility beyond its own service fees, if applicable.

Cancellation by the User

If you cancel a booking, the following applies:

  • Provider Policies: Refunds are governed by the cancellation terms set by the third-party provider, which are displayed during the booking process. Review these terms before confirming your reservation.
  • TreksBot Service Fees: Any non-refundable service fees charged by TreksBot (e.g., booking or processing fees) will be clearly indicated at the time of booking and are typically non-refundable unless otherwise stated.
  • Timing: Cancellation requests must be submitted via the Application’s cancellation feature or by contacting us at support@treksbot.com. Processing times may vary based on provider policies.

Cancellation by TreksBot or Providers

In the event of a cancellation initiated by us or a third-party provider:

  • Full Refunds: If a trip or service is canceled due to unforeseen circumstances (e.g., weather, provider insolvency), you will receive a full refund, including any TreksBot fees, unless otherwise specified.
  • Partial Refunds or Credits: In some cases, providers may offer partial refunds or travel credits instead of cash refunds. We will communicate these options to you promptly.
  • Notification: We will notify you as soon as possible via email or the Application if a cancellation occurs.

Non-Refundable Bookings

Certain bookings may be marked as non-refundable at the time of purchase:

  • These are typically discounted or promotional offers, and the non-refundable nature will be clearly disclosed before you complete the transaction.
  • No refunds will be issued for cancellations of non-refundable bookings, except in cases required by applicable law.

Refund Process

Once a refund is approved:

  • Method: Refunds will be credited to the original payment method used for the booking (e.g., credit card, digital wallet).
  • Timing: Refunds typically take 5–10 business days to process, depending on your payment provider. Third-party provider refunds may take longer, and we will inform you of expected timelines.
  • Confirmation: You will receive a confirmation email once the refund is processed.

Exceptions and Special Circumstances

In exceptional cases, such as force majeure (e.g., natural disasters, political unrest), refunds will be handled as follows:

  • We will work with third-party providers to secure refunds or alternative arrangements where possible.
  • If no refund is available from the provider, TreksBot is not obligated to compensate beyond refunding its own fees, if applicable.

Disputes and Issues

If you believe a refund was incorrectly denied or processed:

  • Contact us within 30 days of the cancellation at support@treksbot.com with your booking details and a description of the issue.
  • We will investigate and respond within 14 business days, coordinating with the relevant provider if necessary.

Changes to This Policy

We reserve the right to update this Refund Policy at any time. Changes will be posted here with a revised "Last Updated" date. Your continued use of the Application after updates signifies acceptance of the revised policy.
